How do I import my Data?
To import your data into Luxor CRM, it must be stored in an Access database and you must have Administrator privileges within Luxor.

There are 4 categories of imports: Prospects, Accounts, Accounts with related Contacts, and Contacts. You must rename the Access table that contains the data you wish to import to reflect the data type that you are importing. The appropriate table names for importing specific types of information are listed below:

To Import Rename the Access Table to:
Prospects Accounts
Accounts Accounts
Accounts/Related Contacts Accounts
Contacts Contacts

Once your table has been renamed appropriately, follow these steps:

  1. From your Luxor home page, select Admin / Data Transformations.
  2. Click on 'Browse' to select the Access database you have prepared, and click 'Upload'. The database will upload to our servers, which may take a few minutes depending on its size. After the upload has completed, you will be presented with the option of what to import the data as (prospects, Accounts, Account with Related Contacts, or Contacts), and whether or not to mark the data as new. Please remember to ensure that the table is named appropriately (see chart above).
  3. After selecting your options, click 'Import' and you will be presented with a menu that allows you to choose which fields from your database table (on the left) will be imported into the fields in Luxor (on the right). You can import the data into virtually any field you wish as long as the format of the fields match (i.e. Number data into Number fields, Date into Date fields). Click ‘Import’ again to complete.

You data will now be imported. You will be given a Tracking ID once the import has completed successfully. Please write this number down, as it may be required for Technical Support purposes. If the import was unsuccessful, please review your data and table name, or contact Technical Support Team for assistance.

NOTE: It may take several minutes to import your data, depending on the amount of data contained in the Access table.

NOTE: If you would like to import data for both Accounts and Prospects, you must import them separately. This may require you to move the Access Tables into different Access databases, as our system will import everything in the database with the table name you specify.

What are views? What are they used for? Where can I edit them?
Views within Luxor will allow you to customize the way you view your Prospects, Accounts, Contacts and Opportunities. Through the Views setting, you can specify criteria to provide you with the only information you want to see, filtering out the data that you do not require. Views provide with a quick and easy way to organize your data in the way that will allow you to work the most effectively.

To create, edit, or delete views, go to Settings / My Views from your home page.

How do I stop a recurring appointment?
If an appointment is recurring, it means that a “recurrence” had been scheduled for it at some point. To remove the recurrence setting, open the Appointment that you no longer want to recur, select the “Recurrence” icon in the Appointment window menu and set the recurrence pattern to “None”.

NOTE: The recurrence will stop only from that point on. If you wish the appointment to recur again, you will have to update the recurrence pattern.

How do I use the Mail Merge?
To use the Mail Merge functionality, you must first create a email template.

To create a template, select Settings / E-Mail Templates from your home page. If you would like to create a template that every Luxor user can access, you should choose to create a “Shared” template. If the template is for your use only, choose the “personal” template.

From within the template, you can specify if you would like the email to be sent to your Prospects or your Contacts (you cannot select both). The Name and Description fields are for your reference to allow you to easily identify the content. The Subject and Body fields will contain the content that is sent to Prospects or Clients in the email. Once you have completed entering the message you wish to send, save the template.

To send the email, go to Contacts or Prospects (whichever the template was created for) and select the Contacts or Prospects that you would like to send the email message to by clicking on the check boxes to the left of the records, and then select the Mail Merge button from the left hand side menu. This will present you with a new pop-up window.

In the window, enter a valid email address in the “From” field, and select the template you wish to send by highlighting the template name in the Email Template window, and select Merge. This should send the email. If the message is sent successfully, you will receive a confirmation message. If you receive an error telling you to specify your mail server, then contact your system administrator to retrieve that information and enter it in your System Settings, or have your Administrator enter it into the Company Information.

When I try to log in, all I get is a blue screen with the Luxor logo on it. What does this mean?
This means that your settings need to be changed in order for you to be able to log in to Luxor. To access the application, you will need to have your security settings in Internet Explorer set to 'Medium' and you cannot be using any pop-up blockers.

When I export data to Excel, I am not prompted to choose to view or save the spreadsheet. How can I change this?
From your desktop, open 'My Computer' and select 'Control Panel’, then 'Folder Options'. This will open a new window.

From within the Folder options window, select the 'File Types' tab. Scroll down the list until you find the file type XLS, which is used for Microsoft Excel. Select the 'XLS' file type and click on the 'Advanced' button. This will open another new window. From this new window, select the 'Confirm open after download' option, select 'OK' on both open windows, and close 'My Computer'. The next time you click on the Excel Export link you will be prompted on what action to take.
